RFQ & Quotation Guide
What buyers should include when requesting a quote
A complete RFQ gets an accurate quotation faster. Include material, dimensions or drawing, supply condition, quantity, inspection requirements and delivery destination.
What To Include In An RFQ
- Material grade and the standard it must meet.
- For bar: diameter or section × length. For parts: a drawing with dimensions, tolerances and surface finish.
- Supply condition and machining allowance.
- Quantity per size and planned annual demand.
- Inspection and certificate requirements.
- Destination port or delivery location and preferred Incoterms.
Common Reasons Quotes Are Delayed
- Grade given without a standard, or with a regional equivalent that needs confirmation.
- Missing tolerances or surface finish on the drawing.
- No quantity or destination, so freight and packing cannot be calculated.
How To Read A Quotation
- Check that grade, dimensions and condition match your RFQ exactly.
- Confirm what inspection and documents are included in the price.
- Note Incoterms, validity, payment terms, lead time and packing.
- Clarify any deviations in writing before placing the order.
